Connect QuickBooks so an open sales invoice gets a BoomFi paylink for the invoice total. BoomFi writes that link into the note on the invoice. The customer opens the link and pays. You record that payment in QuickBooks. QuickBooks is connected with a sign-in, not an API key. This guide is for the BoomFi merchant dashboard.

How the flow works

  1. You connect a QuickBooks company from Settings → Integration.
  2. BoomFi imports open sales invoices, then receives later invoice creates and updates from QuickBooks.
  3. For each open invoice, BoomFi creates a customer and a one-time paylink, and appends the paylink to Note to customer.
  4. The customer opens that link and pays on BoomFi checkout.
  5. The transaction is Succeeded in BoomFi. The QuickBooks invoice stays open until you record the payment there. The paylink stays active until you turn it off.

Connect QuickBooks

  1. In BoomFi, open Settings → Integration.
  2. Find QuickBooks and choose Connect.
  3. In the dialog, leave the fields and the webhook URL as they are, and choose Integrate. You do not paste an API key, and you do not add that URL inside QuickBooks. QuickBooks notifies BoomFi through this connection.
  4. Sign in to QuickBooks and approve accounting access. Approve that screen in the same browser that started Connect.
The company you approve is the one that syncs. One QuickBooks company connects to one BoomFi organisation. Connecting a different company replaces that connection. Paylinks already created stay until you turn them off. If the dialog already shows a company ID, approve that same company. A different company leaves the card disconnected. The card shows Disconnect when that company is connected. If the connection cannot be confirmed, the card stays disconnected and shows the error. Choose Connect and sign in again. Create the invoice

Create the invoice in QuickBooks. BoomFi does not add a line to it.
  1. Create a sales invoice with a customer, a due date, at least one line, and an amount still due.
  2. Save the invoice.
Bills, estimates, and sales receipts are left alone. An invoice that is already paid or voided the first time BoomFi sees it is left alone. Connecting imports open invoices once. After that, QuickBooks notifies BoomFi when an invoice is created or updated. An invoice with no customer or no due date is not imported, and the rest of that import stops. Add the customer and the due date, then save. If other open invoices are still missing, disconnect and connect again. A repeating template is collected as each sales invoice is created. Each of those invoices gets its own paylink.

What BoomFi creates

BoomFi creates the customer from the QuickBooks customer, including the billing email when the invoice has one, and a one-time paylink. The paylink is named Invoice plus the QuickBooks invoice number. The amount is the invoice total, including tax.
The paylink charges the invoice total. A QuickBooks invoice that already has a partial payment still gets a paylink for the full total.
The QuickBooks lines stay on the QuickBooks invoice. They are not listed on the paylink. Checkout shows the paylink name and a single total. If you change the total on an open invoice, the next update sets the paylink amount to the new total.

The note to the customer

BoomFi adds a block to Note to customer. A note you already wrote stays above it.
The paylink URL is the line under that message. It can include a customer identifier. Send the invoice after the block is there. If you emailed the invoice before that block appeared, send it again. The customer pays from the link in that note. Note to customer with the paylink block under the merchant's own note Delete the block from Note to customer, from ---PAYLINK--- through the link, and save. The next update leaves that invoice without a link. Other invoices are unchanged.

What the customer sees

The QuickBooks invoice still shows the lines you wrote. Note to customer includes the paylink. Opening the link sends the customer to BoomFi checkout for that invoice total. Checkout asks for the payer’s details and a payment method. The summary is the paylink name and the total. Checkout for that invoice, showing Invoice 1001 and a single total

After the customer pays

  1. In BoomFi, open Transactions. The payment status is Succeeded, and the reference is the QuickBooks invoice number.
  2. Record that payment on the invoice in QuickBooks. The invoice there stays open until you do.
  3. The paylink stays active. Open it under Payment links and turn it off when that invoice should not be collected again.
When the amount due in QuickBooks becomes 0, the next update marks that invoice paid in BoomFi. An invoice QuickBooks marks voided is marked void. The paylink stays active until you turn it off. If you delete an invoice in QuickBooks, turn off its paylink in BoomFi.

Disconnect

Disconnect on the QuickBooks card stops new invoices from syncing. Paylinks already created stay until you turn them off.
